Object model design decisions that hurt later

Most CRM messes come from decisions made in week one. These are the calls we make explicit up front.

DecisionCommon defaultBetter defaultWhy
Companies as first-classOff (contact-centric)OnB2B accounts have many contacts; contact-first breaks reporting
Deals per companyOne open at a timeMultiple with pipeline tagReal accounts have expansion, renewal, and new-logic deals simultaneously
Lifecycle stage sourceManualRule-based from eventsManual stages drift; sales-ops spends Fridays cleaning

Sync conflict rules for two-way integrations

When CRM data flows both ways with marketing tools, billing, and support, conflicts are inevitable. These rules stop the data war.

  • Field-level ownership

Every field has one system-of-record. Marketing owns UTMs; billing owns MRR; support owns CSAT. Others read-only.

  • Last-write-wins is banned

Except for user-editable notes. Everything else uses source-authoritative rules with timestamp comparison.

  • Merge strategy for duplicates

Company match on domain; contact match on email + phone. Never fuzzy match on name alone.

  • Soft delete only

Deletes are archives with 90-day recovery; hard deletes break attribution and downstream reports.

  • Idempotent webhooks

Every incoming event has a dedupe key; retries are safe; no double-fire on marketing tool retries.

  • Sync failure alerting

Silent sync failures are the worst kind — we alert on drop in sync volume, not just on errors.

Clean pipelines. Fewer tabs.
